How to request a channel letter quote: the files, sizes and specifications to send

A complete brief gets you an accurate price faster. Here is what to send – artwork, sizes and the six choices that define every letter.

Channel letters being assembled and tested on the SmileSign workshop floor

A channel letter quotation is only as good as the brief behind it. When the artwork, sizes and specification are complete, a manufacturer can price the job in one go, propose the right profile and avoid surprises later. When details are missing, the quote either takes longer or is built on assumptions. This guide lists everything to include when you request a quote for built-up or channel letters – and explains why each item matters.

Why a complete brief pays off

Every element of a channel letter influences the price: the letter height and the number of letters, the material of face and return, the return depth, the finish, the lighting and the way the letters are mounted. Two jobs with the same logo can differ a lot in cost, depending on these choices. A complete brief gives you:

  • a quotation that reflects the real job instead of estimates
  • the right profile recommendation for the look your client wants
  • fewer rounds of questions, so the project starts sooner

1. Artwork: send vector files

Send the logo and text as vector artwork – for example PDF, AI, EPS or DXF. Vector files contain the exact outlines that CNC routers and laser cutters follow, so the letters come out exactly as designed.

A few habits make artwork production-ready:

  • Convert text to outlines (curves), so the font does not change on another computer.
  • Draw at 1:1 scale or state the scale clearly in the file.
  • Use closed shapes without overlapping or duplicate paths.
  • Mark the colours with RAL codes, or with the acrylic colour or print reference.
  • Add a facade drawing or photo with dimensions, showing where the letters go.

Raster files such as JPG or PNG are useful as a visual reference, but they do not contain cutting paths. If only a raster logo exists, mention it in your request: the artwork will need to be redrawn as a vector before production.

2. Sizes and quantities

State the letter height (usually the height of the capital letters, or the overall logo height), the total length of the sign and the number of sets you need. For logos, give the overall width and height. If the letters must fit an existing fascia or panel, include those dimensions too. Our guide to letter height and viewing distance helps if the size is still open.

3. The six choices that define every letter

Each of our 11 profiles is a defined construction, and within each profile there are six choices to make. Every data sheet lists the options available:

  1. Application method – how the letter is applied, for example flat on the wall or raised.
  2. Base material – aluminium, stainless steel, acrylic, composite or PVC foam, depending on the profile. See choosing the material.
  3. Return depth – the depth of the side band, chosen to suit the letter size.
  4. RAL colour and finish – paint colour, powder coat, foil or a stainless finish.
  5. Mounting option – for example zero back-face, PVC foam back tray or high mounting screws. See how built-up letters are mounted.
  6. Lighting – front-lit, back-lit, both, side-lit or none, and the LED colour.

You do not have to know the profile in advance. Describe the effect you want – "bright red face, white sides" or "brushed stainless with a warm halo" – and we will suggest the profile that fits. The channel letter types guide explains the options.

4. Lighting and electrical details

For illuminated letters, tell us the LED colour (for example a particular white or a colour matched to the face), whether the letters are front-lit, halo-lit or both, and anything we should know about the power supply – for example where it should be placed and the mains standard of the country where the sign will be installed. Our guide to LED modules, power supplies and IP ratings covers the background.

5. Installation context

Describe the wall or substrate (brick, render, cladding, glass, an existing panel), whether the letters go indoors or outdoors, and the mounting method you prefer. This affects the back of the letter and the fixing points.

6. Delivery and timing

Give the delivery country and address, and the date the letters need to be on site. Lead time depends on the profile, quantity and finish; we confirm it together with the quotation, before production starts. Delivery is agreed with the quotation, and every order is carefully packed for transport to your workshop.

What happens next

When your request comes in, we check the artwork and specification and come back with any questions. You then receive a quotation with the recommended profile and materials. After your approval, production starts – cutting, welding, finishing, lighting and quality control in our own factory, followed by careful packing and dispatch.

Ready? Use the quote form: it walks you through product, specification and contact details in three short steps. If you already know the profile, start from its page – for example SML 5 ECO – and the form opens with the product pre-selected.

Frequently asked questions

Which file format should I send for channel letters?

Vector artwork such as PDF, AI, EPS or DXF, with text converted to outlines and the letter heights stated.

Can I request a quote with only a JPG logo?

You can send it as a reference, but production needs vector outlines. Mention that only a raster file exists, because the artwork will have to be redrawn as a vector first.

Do I need to know which profile I want?

No. Describe the look and the lighting you have in mind, and we will recommend a suitable profile. The quote form also has an "Other / not sure" option.

How long does production take?

It depends on the profile, quantity and finish. We confirm the lead time together with the quotation, before production starts.
